Position Summary

The Dental Treatment Coordinator facilitates a positive patient experience by clearly explaining treatment and related costs. The Dental Treatment Coordinator facilitates cost planning through providing cost estimates and sliding fee applications. This position also collects patient balances and supports revenue cycle. The Dental Treatment Coordinator works with Patient Services Representatives and clinical team members to ensure that services are covered or patients agree to pay.

Essential Duties and Responsibilities
  • Reviews daily schedule and collaborates with Dental Assistant Supervisor to ensure patient flow
  • Conducts insurance and service eligibility for patients
    • Reviews and confirms patient insurance prior to the patient visit.
    • Reviews dental service eligibility and cost.
    • Communicates eligible/ineligible services to the clinical team.
    • Reviews cost of ineligible services with patient
  • Confirms patient appointments.
  • Patient payments and balances
  • Collect insurance cards and photo ID from patient if needed, verifies insurance benefits and eligibility for services
  • Collect co-payment, co-insurance or any balance due. Record payment in NextGen.
  • Treatment and cost planning
    • Reviews accounts for outstanding balances and collects payment payments.
    • Provides cost estimates for dental services including Good Faith Estimates for any self-pay patients. Receives patient signatures on cost estimates.
    • Assists patients in applying for dental sliding fee scale.
      • Reviews sliding fee scale application for accuracy of data.
      • Receives approval on sliding fee scale applications.
      • Collect patient payments and records in daily deposits.
    • For major dental services confirms out of pocket costs and collects payments. Tracks pre-payments and reviews for appropriate coding.
  • Submits needed prior authorizations.
  • Maintains appropriate A/R ratio and A/R breakdown
  • Tracks lab cases and provides treatment estimates in line with the Lab Case Procedure.
  • Balances money batch at the end of day
  • Prints end of day report and prints daily money batch
  • Scans and links patient forms to electronic health record
  • Proactively communicates with the clinical team of any changes in the patient’s financial status, insurance coverage, service eligibility.
  • Works assigned revenue cycle management tasks.
    • Works with revenue cycle team to identify opportunities for process improvement and implement change.
  • Performs duties of the Patient Services Representatives as needed to ensure high quality care to patients.
  • Attends meetings as required and participate on committees as requested
  • Maintains patient confidentiality.

  • Other duties as necessary to ensure successful attainment of SCHC goals and objectives
Job Qualifications and Requirements

  • High School Diploma or equivalent required; Associate degree preferred
  • One to three years of work experience in healthcare related environment
  • Knowledge of dental insurance, coding, and billing
  • Experience in a Federally Qualified Health Center and sliding fee scales preferred
  • Knowledge of MS Word, Excel and Outlook
  • Knowledge of medical terminology preferred
  • Knowledge of business office procedures
  • Knowledge of grammar, spelling, and punctuation to type patient information
  • Skill in operation of a computer and other office equipment
  • Skill in greeting patients and answering the telephone in a pleasant and helpful manner
  • Ability to speak clearly and concisely
  • Ability to read, understand and follow oral and written instructions
  • Ability to sort and file materials correctly by alphabetic and numeric systems 
  • Ability to establish and maintain effective working relationships with patients, employees and the public

Education Requirements (Any)
High School Diploma or equivalent required; Associate degree preferred
